Privacy Policy

kylefyle is an internal event-production management platform built and operated by Mertz Productions ("Mertz Productions," "we," "us"). It is used by authorized Mertz Productions staff, contractors, and invited event clients to manage production schedules, run-of-show documents, tasks, contacts, and related event files. This policy explains what information kylefyle collects, how it's used, and how it's protected.

Who can use kylefyle

kylefyle is not a public product — there is no open sign-up. Accounts are created by Mertz Productions staff for employees, contracted crew, vendors, and clients involved in a specific event. Access to any given event's data is limited to the people added to that event.

Information we collect

We collect only what's needed to run and coordinate an event:

• Account information — name, email address, and role (staff, crew, vendor, or client).
• Event and project data — event names, dates, venues, production schedules, run-of-show cues, task lists, and internal notes.
• Contact information — names, phone numbers, and email addresses of people associated with an event, entered by staff so the right people can be reached during production.
• Files and media — production documents and video review links associated with an event, stored via the third-party services described below, not on kylefyle's own servers.

How we use information

Information is used solely to operate the event for which it was collected: building schedules, assigning tasks, sharing contact information among the people working an event, and providing clients a read-only view of their own event's details. We do not use this information for advertising, and we do not sell it to anyone.

Third-party services we connect to

kylefyle integrates with a small number of services to avoid duplicating data entry and to keep files in the systems Mertz Productions already uses:

• QuickBooks Online — when a new project is created in QuickBooks Online, kylefyle reads the project's name and job number to automatically create a matching event record. kylefyle does not read or write invoices, payments, or other financial transaction data.
• Dropbox — event folders and files live in Mertz Productions' own Dropbox Business account. kylefyle creates and organizes folders there; files themselves are never copied to kylefyle's own storage.
• Vimeo — video files for client review are uploaded to Mertz Productions' Vimeo account; kylefyle only stores the resulting review link.
• Google Firebase — the underlying database and authentication provider for kylefyle itself.
• Google Maps — venue addresses are looked up via Google's Places/Maps APIs to generate a map link; no location data is collected from users' own devices.

Each of these providers has its own privacy practices governing the data it holds; kylefyle only reads and writes the specific fields described above.

How information is protected

Data is stored with Google Firebase and secured by access rules that restrict every event's data to Mertz Productions staff and the specific people added to that event. Files live in Mertz Productions' own Dropbox Business account, which carries its own enterprise-grade security controls. We don't maintain a separate copy of file contents.

Data retention

Event records are retained for as long as they're useful for business, historical, and client-service purposes. A staff member or client may request that their personal account information be removed by contacting us at the address below.

Your choices

Because kylefyle accounts are created and managed by Mertz Productions staff on behalf of people working a specific event, individual privacy requests (access, correction, or deletion of your information) should be directed to Mertz Productions using the contact information below.

Text messages

If you are working a show for Mertz Productions, kylefyle may send you a text message when you are named directly in a show conversation — an @mention of you, an @all announcement, or a reply to something you wrote — and you are not reachable in the app at that moment. These are operational messages about the show you are working. We never send marketing or promotional text messages.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as our messaging provider, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

We do not sell or rent mobile phone numbers. Numbers are used only to deliver the alerts described above, and no third party receives them for any other purpose.

Message frequency varies and depends on how often you are named in a conversation during a show. In practice this is a small number of messages per show week, and none on days you are not working. Message and data rates may apply.

Reply STOP to any message to stop receiving them, or HELP for help. You can also turn text alerts off at any time in the app under Settings → Notifications → Text alerts. Opting out of texts never affects your account or your work — you will still receive messages in the app.

Changes to this policy

We may update this policy as kylefyle's features change. The "Last updated" date at the top of this page reflects the most recent revision.
